Types of Data collected
Among the types of Personal Data that Bettertext collects, by itself or through third parties, there are: Cookies, Usage Data, email address, first name and last name.
Complete details on each type of Personal Data collected are provided in the dedicated sections of this privacy policy or by specific explanation texts displayed prior to the Data collection. Personal Data may be freely provided by the User, or, in case of Usage Data, collected automatically when using Bettertext. Unless specified otherwise, all Data requested by Bettertext is mandatory and failure to provide this Data may make it impossible for Bettertext to provide its services. In cases where Bettertext specifically states that some Data is not mandatory, Users are free not to communicate this Data without consequences to the availability or the functioning of the Service. Users who are uncertain about which Personal Data is mandatory are welcome to contact the Owner. Any use of Cookies – or of other tracking tools – by Bettertext or by the owners of third-party services used by Bettertext serves the purpose of providing the Service required by the User, in addition to any other purposes described in the present document and in the Cookie Policy, if available.
Users are responsible for any third-party Personal Data obtained, published or shared through Bettertext and confirm that they have the third party’s consent to provide the Data to the Owner.
Mode and place of processing the Data
Methods of processing
The Owner takes appropriate security measures to prevent unauthorized access, disclosure, modification, or unauthorized destruction of the Data. The Data processing is carried out using computers and/or IT enabled tools, following organizational procedures and modes strictly related to the purposes indicated. In addition to the Owner, in some cases, the Data may be accessible to certain types of persons in charge, involved with the operation of Bettertext (administration, sales, marketing, legal, system administration) or external parties (such as third-party technical service providers, mail carriers, hosting providers, IT companies, communications agencies) appointed, if necessary, as Data Processors by the Owner. The updated list of these parties may be requested from the Owner at any time.
Legal basis of processing
The Owner may process Personal Data relating to Users if one of the following applies:
- Users have given their consent for one or more specific purposes. Note: Under some legislations the Owner may be allowed to process Personal Data until the User objects to such processing (“opt-out”), without having to rely on consent or any other of the following legal bases. This, however, does not apply, whenever the processing of Personal Data is subject to European data protection law;
- provision of Data is necessary for the performance of an agreement with the User and/or for any pre-contractual obligations thereof;
- processing is necessary for compliance with a legal obligation to which the Owner is subject;
- processing is related to a task that is carried out in the public interest or in the exercise of official authority vested in the Owner;
- processing is necessary for the purposes of the legitimate interests pursued by the Owner or by a third party.
In any case, the Owner will gladly help to clarify the specific legal basis that applies to the processing, and in particular whether the provision of Personal Data is a statutory or contractual requirement, or a requirement necessary to enter into a contract.
Place
The Data is processed at the Owner’s operating offices and in any other places where the parties involved in the processing are located.
Depending on the User’s location, data transfers may involve transferring the User’s Data to a country other than their own. To find out more about the place of processing of such transferred Data, Users can check the section containing details about the processing of Personal Data.
Users are also entitled to learn about the legal basis of Data transfers to a country outside the European Union or to any international organization governed by public international law or set up by two or more countries, such as the UN, and about the security measures taken by the Owner to safeguard their Data.
If any such transfer takes place, Users can find out more by checking the relevant sections of this document or inquire with the Owner using the information provided in the contact section.
Retention time
Personal Data shall be processed and stored for as long as required by the purpose they have been collected for.
Therefore:
- Personal Data collected for purposes related to the performance of a contract between the Owner and the User shall be retained until such contract has been fully performed.
- Personal Data collected for the purposes of the Owner’s legitimate interests shall be retained as long as needed to fulfill such purposes. Users may find specific information regarding the legitimate interests pursued by the Owner within the relevant sections of this document or by contacting the Owner.
The Owner may be allowed to retain Personal Data for a longer period whenever the User has given consent to such processing, as long as such consent is not withdrawn. Furthermore, the Owner may be obliged to retain Personal Data for a longer period whenever required to do so for the performance of a legal obligation or upon order of an authority.
Once the retention period expires, Personal Data shall be deleted. Therefore, the right to access, the right to erasure, the right to rectification and the right to data portability cannot be enforced after expiration of the retention period.
The purposes of processing
The Data concerning the User is collected to allow the Owner to provide its Services, as well as for the following purposes: Analytics, Managing contacts and sending messages, Contacting the User and Remarketing and behavioral targeting.
Users can find further detailed information about such purposes of processing and about the specific Personal Data used for each purpose in the respective sections of this document.
Detailed information on the processing of Personal Data
Personal Data is collected for the following purposes and using the following services:
Browser extension (Bettertext)
The Bettertext extension for Chrome adds a toolbar next to text you highlight on a web page.
What it sends, and when. Nothing is sent until you click an action on the toolbar (for example Improve, Reply or Translate). Then it sends Bettertext only what that action needs: the text you highlighted, the action, and any options you chose (such as a tone, a language, the note you typed for a reply, or the change you asked for). It does not send the address of the page, other text on the page, your browsing history or anything you type into the page itself.
The Bettertext button in Gmail. In Gmail, the extension adds a Bettertext button next to Send in the compose window. Nothing is sent until you click it and ask for a reply. Then it sends the email you are replying to and up to four earlier messages of the same conversation as background (without the history quoted below each one), and what you typed as your note or draft, so Bettertext can write the reply. The same background is sent when you use Reply on a message you highlighted in Gmail. It does not read your other emails or conversations, and it sends nothing when you do not use it.
Knowledge (Premium). If you add Knowledge in your Bettertext dashboard, Bettertext stores what you add there: text you paste, the text of files you upload (the files themselves are deleted once read), and the text of public web pages at addresses you give it, which it reads and refreshes weekly. To find the right passages, this text is sent to OpenAI to create search data, and a few matching passages are sent with your request when you write a reply or answer. The extension picks which collection to use in your browser, from the email addresses and sites you listed, so no page address or email address is sent to choose it. You can delete any source or collection at any time, and it is removed at once.
Agents (Premium). You can connect your own AI agent. Claude Code on your computer is connected by running a small Bettertext program there with a one-time pairing code; that program keeps a sign-in for your account on that computer and asks Bettertext for jobs. When you choose to write with it, the extension sends the job (the text or email, earlier messages of the conversation in Gmail, your note, the tone and your name) to Bettertext, which passes it to your computer and deletes it as soon as the answer is back, within 15 minutes at most. While your agent works, short notes of what it is doing (for example the names of files it reads, or words it searches for) and its reply so far pass through Bettertext the same way, and are deleted with the job. Bettertext keeps a record that the computer is paired and when it was last used, never the content of a job. Agents on the web that you add yourself are saved only in the Bettertext extension on your browser, with their address and key, and jobs go from your browser straight to them. Your agent’s own terms and privacy practices apply to what you send it.
Write. When you press the Write shortcut in a text field and ask for text, the extension sends your instruction, the text already in that field (up to a few thousand characters around your cursor), the field’s label, the page title and the site’s address, and in a Gmail reply the email you are answering with up to four earlier messages. Bettertext uses it to write the text and does not keep it. Nothing is sent until you ask, and Write never opens in password or card fields.
Snippets. Bettertext stores the snippets you save (a shortcut and its text), encrypted, so you can manage them in your dashboard and use them in the extension. If you connect a Mac, the Bettertext program there reads and updates your Mac’s text replacements, which Apple syncs to your other Apple devices through iCloud; before each change it keeps a backup on your Mac. If you turn on “Use snippets everywhere on this Mac”, that program installs Espanso, a free open-source app made by the Espanso team, not by Bettertext, and gives it your snippets. Espanso runs only on your Mac, under its own terms, and Bettertext receives nothing from it.
Smart pick (Premium). When Smart pick is on and you write a reply, the extension first asks Bettertext who should write it: Bettertext, one of your Knowledge collections or one of your agents. For that it sends the email, earlier messages of the conversation, the email’s subject, the domains of the email addresses in it (for example editorify.com, never the full addresses) and the names of your collections and agents. Bettertext sends this to OpenAI to decide, and keeps none of it.
Who processes it. Bettertext sends that text to OpenAI, which generates the result and returns it to you. OpenAI processes it under its API terms and does not use it to train its models. Bettertext does not keep the text you highlighted or the result; it keeps a record that an action was used (which action, when, and how many AI tokens it took), to count your daily responses on the Free plan and for billing and support.
What it stores in your browser. A sign-in token so the extension knows your account, a short-lived copy of your settings (which actions to show, light or dark), and the list of sites where you turned the toolbar off. Signing out removes the token and the copy of your settings.
Payments. The extension never handles payment details. Payments are made on PayPro Global’s checkout, or through Wix for Wix users.
iPhone app and keyboard (Bettertext)
The Bettertext app for iPhone adds a keyboard you can switch to in any app, and a Bettertext action in the Share sheet.
What it sends, and when. Nothing you type is sent while you type. Typo correction, word suggestions and snippet shortcuts are worked out on your phone. Text leaves your phone only when you tap a Bettertext action, and only the text that action needs: for Reply, the email or message you are answering and the few words you add; for Improve, Shorten, Tone and Translate, the text in the field or the part you selected; in the Share sheet, the text you shared.
Full Access. iOS asks you to allow Full Access for the keyboard. Bettertext uses it for two things: to read your snippets and settings, which the app keeps on your phone, and to reach Bettertext when you tap an action. Without Full Access the keyboard still types, without snippets or writing.
What is kept. Your snippets, Knowledge, reply style and signatures are stored in your account, the same as in the dashboard. The text of an email you answer and the reply written for it are not kept once the reply is delivered. To set when a saved answer should be offered, Bettertext keeps a score, which snippet was offered and what you chose.
Who processes it. The same as the browser extension: Bettertext sends the text to OpenAI, which writes the result and returns it. If you write with your own agent, the text goes to your paired computer instead.
On your phone. The app keeps your sign-in in the iPhone Keychain and a copy of your snippets and settings in storage shared between the app, the keyboard and the Share sheet. Signing out removes them.
Payments. Premium bought in the iPhone app is billed by Apple through your Apple account, and Bettertext never sees your payment details. Apple sends Bettertext a signed record of the purchase, and of its renewal, cancellation or refund, so Premium can be turned on and off.
Deleting your account. Settings › Account › Delete account in the app deletes your account for good: your snippets, Knowledge, settings, signatures and paired computers are removed, and a subscription paid on the web ends at once. A subscription bought in the iPhone app is not cancelled by deleting the account; cancel it in your Apple account settings. Records of payments are kept for as long as bookkeeping law requires.
Personal Data processed: the text you choose to process, your email address and name (for your account), and Usage Data.
Place of processing: United States (OpenAI) and the servers Bettertext uses to run its app.
